Part 01

What a CRM actually is

A CRM is your system of record. Not a sales tool, not a marketing tool. It is the single source of truth for every person, company, and conversation in your business. Without it, your business lives in your inbox, your memory, and your DMs. That works for your first 5 customers. It does not work for your first 50.

Attio holds all of that in four pieces. Learn these four words and the rest of the product makes sense.

Objects
The categories of things you track. People and Companies are built in. Turn on Deals to track your pipeline.
Records
The actual entries. One company, one person. Think of a row in a spreadsheet.
Attributes
The fields on a record. Name, email, deal value, stage. Add your own of any type.
Lists
Your pipelines and process boards. A list moves records through stages. One record can sit in many lists.

What needs a paid plan

Part 03

Four things to set up today

We do these live, in order, inside one founder's workspace. Everyone else follows along in their own workspace at the same time.

  1. 15 min

    Build your pipeline

    Deals are off by default in Attio. Turn them on, then build a pipeline that reflects how you actually sell, not a generic template.

    1. Click the gear icon (Settings), then Data, then Objects, find Deals and enable it
    2. In the left sidebar, click + next to Lists and create a Pipeline list on the Deals object
    3. Open the list, add a Kanban view, and group it by Deal Stage
    4. Rename the stages to fit your motion: Identified, Contacted, Conversation Started, Discovery Done, Proposal Sent, Won, Lost

    Every real conversation goes into your pipeline as a deal. Every one.

  2. 25 min

    Create a record and link it

    Every person you talk to is a record. Every active conversation is a deal linked to that company and those people.

    1. Click + New and create the company or person record
    2. On the deal, use Associated Company and Associated People to link who you are talking to
    3. Drag the deal card to the stage that matches reality

    A record with no deal is a name. A deal with no people is a guess. Always link them.

  3. 35 min

    Log a note and a task on every deal

    A task is a reminder to yourself. After every conversation, log a note and set the next task directly on the deal.

    1. Open any record and go to the Activity tab
    2. Click Add note and write what was discussed and what the next step is
    3. Go to the Tasks tab, click Add task, set a deadline and an assignee

    Never leave a deal without a next task. No next step means the deal is dead.

  4. 45 min

    Connect your email and calendar

    This is the one that makes Attio feel alive. Once it is on, your CRM starts filling itself.

    1. Go to Settings, then Email & Calendar, and connect Gmail or Outlook
    2. Attio creates People and Company records for everyone you email or meet, automatically
    3. Your emails and meetings show up on each record's timeline
    4. You can now send email from inside Attio, logged to the record

    The closest thing to automation you get on Free. Turn it on and your CRM fills itself.

Part 04

Where AI fits in

Attio Free and Plus do not have heavy automation. Here is how the full stack works, and how you can use AI manually today.

Attio System of record: records, deals, notes, tasks, synced email and meetings.
Attio AI Research Agent fills attributes from the web, Classify tags records, Summarize digests a record. Credit-based, in every plan.
Apollo Prospecting database: find target companies and decision-makers, enrich their emails and phones, and add them to your Attio pipeline.
Clay Research and enrichment: find companies, enrich contacts, build outbound lists, spot signals.
Claude via MCP Connect Claude to your Attio workspace to pull deals, draft follow-ups, and move stages in plain language.

A manual workflow you can run this week

  1. Call scheduled. Open the deal in Attio and read your last notes.
  2. Run Attio's Research Agent on the company, or paste their LinkedIn into Claude, and ask for a prep.
  3. Take the call. Come back and log your notes on the deal.
  4. Ask Claude to draft a follow-up email based on those notes.
  5. Send from Gmail. It logs back to the record automatically once email sync is on.

No automation required. No Pro plan required. Do it manually, do it consistently.

Connect Attio to Claude

In Claude, open Settings, then Connectors, search for Attio, and install. Sign in with Attio, no API key needed. Now you can ask Claude to pull a deal, log a note, or move a stage just by typing it.
